Your contractors bring Slate with them
Slate is a contractor’s own tool for getting paid. They log their time in it, build timesheets from that time, and raise invoices from those. The client side doesn’t ask them to change any of that — you add their code, and what they already submit becomes something you can see.
Already done
They started using Slate to handle their own invoicing, and it is free for them. Logging time, building timesheets and raising invoices are things they do for their own reasons, whether or not you ever use the client side. None of it is a line on your project plan.
One code
You enter a code. Nothing to install, no data to bring across, nobody to train. You are not standing up a new system; you are being pointed at one your contractors already keep up to date.
The code lives on their account
Every Slate account carries its own code, a short string like SL-4K2QD9. It identifies the contractor and nothing else. They send it to you however you already correspond.
You add it to your workflow
Enter the code and that contractor is attached to your workflow. The workflow is everyone working for you in one view: what state each timesheet is in, which expenses have been submitted, and what is waiting on your approval.
Reminders start on their side
From the moment a contractor joins your workflow, Slate reminds them to submit their timesheets and expenses. The chase that would otherwise be an email from you is handled by the tool they already use.
Do I need to sell this to my contractors?
No. Slate is free for them and it is where their timesheets and invoices already live. You are asking for a code, not asking them to adopt something.
Is this a rollout project?
Nothing to install on either side, no historic data to migrate, no training to book. Adding a contractor is entering a code.
What if someone forgets to submit?
Slate reminds them automatically once they are in your workflow. Following up stops being your job.
What you see on the client side
A single review queue
Everything your contractors submit arrives in one queue: timesheets set out day by day, invoices with the PO number and VAT already applied, and itemised expenses.
Approval in one click
Approving takes a single click. The contractor sees the status change straight away, and approved time carries through to their invoice without either side chasing an update.
Visibility of committed spend
A running view of what has been submitted against what you have approved, across every contractor, available before month-end rather than after it.
Priced by team size
The client side is the only paid part of Slate. Contractors use it free, and will continue to. Every tier below is the full product, and they differ only in how many workers you run through it.
- One approval queue for timesheets, invoices and expenses
- Single-click approval, with the status visible to the contractor straight away
- A running view of submitted and approved spend across every contractor
- An audit trail recording who approved what, and when
- Free accounts for your contractors, with nothing for them to install
At this size the queue replaces the inbox. Submissions can be approved as they arrive rather than collected up for the end of the week, and nothing needs re-entering into the back office.

At around twenty workers, month-end stops being a consolidation exercise. Every timesheet is already approved and held in one place in a consistent format, so the totals do not need reconciling.

At this scale the value is visibility. You can see committed spend across every contractor as it accrues, and the audit trail gives you a documented answer to any query about who approved what.
